Our client, a company that specializes in performance improvement is looking to recruit an Executive Assistant. The Executive Assistant role is crucial to the effective running of the business. The Executive Assistant provides exceptional business performance through strong leadership of the Administration function and business development support to the Executive Directors. The ideal candidate Must have excellent communication skills (oral and written).

Key Requirements:

  • Provide exceptional leadership, service, and direction through all our customer touch points which include reception management, telephone and email communication.
  • Support the CEO & Executive Director through proactive planning and execution of various duties as required.
  • Support all other departments by ensuring all required resources are provided in time and managed well.
  • Manage and control company assets in the store, kitchen, and vehicles.
  • Ensure that the office is running efficiently and to high standards in terms of cleanliness, fixtures, and general supplies.
  • Co-ordinate the movement of the company car and delivery services.
  • Make travel arrangements for the staff and facilitators travelling locally, and internationally.
  • Effectively manage the medical scheme by ensuring that all records for the scheme are current.
  • Proactively manage the insurance processes by carefully maintaining the insurance file & inventory as well as liaison with the insurance broker ahead of renewals, updates & adjustments of insurances.
  • Ensure prudent procurement of office and training supplies.
  • Coordinate importations from franchisers including lodging of import documentation & timely clearance of goods with the courier company
  • Demonstrate strong self-leadership by being well organized arising from understanding and appreciation of how the business runs and proactively getting things done ahead of schedule

Qualifications:

  • Bachelor’s degree from a recognized university.
  • Must demonstrate organization, communication and customer service/sales skills working with corporate clients in a B2B environment and/or office management.
  • Exceptional interpersonal and verbal communication skills and excellent phone skills are required.
  • High Level of demonstrable planning, prioritization, and execution.
  • A high degree of business acumen and credibility, the ability to influence and communicate with client organizations at middle to senior level.
  • Team player with strong work ethic and the ability to work in a fast-paced environment.
  • Experience in marketing and customer service will be an added advantage.
  • Professional attitude and appearance.
  • Fully computer literate.
