About the Role

Key Responsibilities

  • Oversee receiving, verification and confirmation of new files transferred to the registry from users
  • Oversee indexing new files into the specific department/product inventory.
  • Shelving new and used files into the correct locations
  • Collection and/or receiving used files from various departments and verification against lists provided for transfer.
  • Sorting used (file-always) and new files for entry into the system and re-filing.
  • Receiving client requests directly from users or from the registry officer in charge of requests.
  • Retrieval of files requested by the staff members (clients) in respective departments within the set timelines.
  • Tracing and keeping track of policy files -to prevent file misplacement.
  • Oversee Indexing lapsed/closed files for transfer to the archives.
  • Oversee Consolidating active policy files – to create space for new policy files.
  • Liaise with the archives agency service provider to ensure proper effectiveness and efficiency of the services provided.
  • Assist in the Document Digitization Process.
  • Oversee document/record disposal processes.

QUALIFICATIONS, EXPERIENCE AND COMPETENCIES

  • Bachelor’s degree in Information Sciences, Library Science or Records Management
  • At least 5 years of experience working in a busy registry.
  • Electronic record Management training lasting not less than 2 weeks.
  • Supervisory training lasting not less than 2 weeks.
