Job Summary

  • The jobholder will be responsible for Coordinating and executing all procurement operations in line with the KRASPS procurement policies, guidelines, best practice and the prevailing procurement law and regulations.

Duties & Responsibilities:

  • Coordinate and implement procurement and disposal activities in line with the Scheme’s procurement policies, applicable laws, and best practices.
  • Support the development and review of procurement strategies, policies, and procedures.
  • Prepare procurement documents including RFQs, RFPs, TORs, specifications, and purchase orders.
  • Coordinate supplier prequalification processes and maintain an updated supplier database.
  • Consolidate procurement requirements from departments and coordinate timely delivery of goods and services.
  • Monitor procurement activities to ensure compliance with approved budgets and achievement of value for money.
  • Develop, maintain, and track supplier and service provider contracts in liaison with relevant stakeholders and management.
  • Maintain proper procurement records, filing systems, and safe custody of tender and contract documents.
  • Support evaluation committee processes and implementation of procurement decisions.
  • Coordinate communication with suppliers on tenders, awards, regrets, and contract follow-up.
  • Prepare the annual procurement plan in liaison with the Finance Department.
  • Produce monthly inventory and asset tracking reports.
  • Ensure office equipment and facilities are functional at all times by coordinating repairs, maintenance, and replacements.
  • Attend procurement meetings, record proceedings, and communicate resolutions.
  • Support business continuity, health and safety, disaster recovery, and emergency response initiatives.

Person Specifications

For appointment to this job, the candidate must have:

  • Bachelor’s Degree in Procurement, Supply Chain Management, or a related field from a recognized institution.
  • Minimum of three (3) years’ experience in a similar procurement or supply chain management role
  • Membership to Kenya Institute of Supplies Management (KISM) or Chartered Institute of Procurement & Supply (CIPS) professional body.
