Job Summary

Safari Beach Hotel in Diani, South Coast is looking to recruit a competent Front Office Manager to oversee the smooth operations of the reception area. The candidate will be responsible for all guest relations and effective dissemination of operational information across departments.

Responsibilities include

  • Assists in hiring and training associates in front office duties.
  • Plans and assign workloads for receptionists as per changing occupancies.
  • Supervises & monitors associates in their assigned job duties
  • Supervises the day to day operations of the front office, including telephone etiquette, guest relations, email responses, cashiering etc.
  • Evaluates the performance of associates and provides constructive feedback
  • Informs and ensures receptionists follow company policies and departmental SOPS.
  • Authorizes all offs & leaves for front office agents
  • Schedules regular departmental meetings to discuss operational issues and updates.
  • Handling guest check-ins/check-outs.
  • Co-ordinates reservations and monitors room allocations.
  • Assists customers in all inquiries in connection with hotel services, in-house events, directions, local attractions, payment modes, safety boxes, etc.
  • Monitors all front office financial operations including billing, verifying rates/discounts, daily sales reconciliation, and PDQ machines usage.
  • Compiles, revises and circulates daily reports, logs and lists, enquiry reports, occupancy pipeline reports etc. to the relevant personnel.
  • Completes the front office cashiering and closing reports.
  • Reporting to the repairs & maintenance supervisor about guest feedback/complaints on rooms that need attention.
  • Follows up with respective HODs on execution of guest requests and ensures expectations are met.
  • Resolves guest complaints and employee conflicts promptly and professionally.
  • Works closely with the sales department to follow up and close enquiries.

Qualifications

  • Preferred tertiary training in Hotel/Front Office Operations with professional certification to match.
  • A minimum 3 years Managerial / leadership posting in a busy hospitality establishment.
  • Good written and verbal communication skills with excellent presentation, telephone etiquette & customer service skills.
  • Computer literacy and working knowledge of Hotel PMS-Eezee.
  • Must be a team player. 
  • A self-starter, go getter, fast thinker and able to multi task.
  • Good composure and temperament able to work in a fast paced environment.
